What are workspaces, and when should I use them?

Workspaces let you split one organization into separate buckets — one per brand, region or client — and give each teammate a different role in each. They are part of the Business plan. Open Settings → Workspaces, type a name and click Create workspace. Today a workspace organises people and their permissions; it does not filter the QR code list.

When should I use a workspace?

Create one when a group of people needs a different level of access from the rest of the organization:

  • An agency with clients. One workspace per client, so the account manager is an admin on their own and a viewer elsewhere.
  • Several brands under one company. One workspace per brand, with each brand team admin of its own.
  • Regional teams. One per region, so a regional marketer can act without touching another region's setup.
  • Contractors. A workspace you can add someone to for a project and remove them from afterwards, without changing their organization role.

Everything still rolls up under one billing account and one set of seats — a workspace is not a second subscription.

How do I create a workspace?

  1. Open the Workspaces page. Go to Settings → Workspaces.
  2. Name it. Type into Workspace name — something like Marketing US.
  3. Set a slug if you want one. Slug (optional) takes lowercase letters, numbers and hyphens. Leave it blank and one is generated.
  4. Click Create workspace. You are added as its admin automatically.

There is no limit on how many you create. Only the organization owner and organization admins see the create form at all.

How do I add people and set their workspace roles?

  1. On the workspace row, click Members to expand it.
  2. Under Add org member, pick a teammate. Only people already in your organization appear — invite them first if they are not there.
  3. Choose a Role: Admin, Editor or Viewer.
  4. Click Add.

Workspace roles are independent of organization roles, so somebody can be an organization viewer and a workspace admin. The three roles mean the same as they do on the Team page: admin manages, editor creates and edits, viewer reads. There is no workspace-level owner.

How do I rename or delete a workspace?

Both buttons sit on the workspace row and both need the organization Owner or Admin role.

  • Rename opens inline fields for the name and slug — edit them and click Save.
  • Delete asks you to confirm and cannot be undone. Members lose their workspace roles; their organization roles are untouched.

The delete confirmation mentions QR codes being moved to the organization root. QR codes are not filed under workspaces today, so deleting a workspace changes nothing about your codes — only who has which role.

Common problems

"Workspaces are a Business+ feature"

The page is showing its locked state. Workspaces need the Business plan — see plans and limits for what each tier includes.

The workspace does not filter my QR codes

Correct, and expected. Workspaces organise members and their roles; every member still sees the organization's QR codes. To sort the codes themselves, use folders and tags instead — see organising codes with folders and tags.

The "Workspace" picker in the sidebar shows something else

That control switches organizations, not workspaces, despite the label. If you belong to more than one organization it moves you between them and reloads the dashboard.

I cannot create or rename one

Creating, renaming and deleting need the organization Owner or Admin role. Being an admin of a workspace is not enough. Ask an organization admin, or check your role at the top of Settings → Team.
