Print QR codes that scan the first time

Size, resolution, quiet zone and contrast decide whether a printed code works. Get them wrong and you find out after the print run. Here is what to check before you send the file.

Minimum size by scanning distance

The single most common reason a printed code fails is that it is too small for the distance people scan it from. The working rule is a 10:1 ratio — the code should be at least one tenth of the intended scanning distance.

These are minimums for a clean print on a flat matte surface. Increase them for gloss, curvature, low light, or any placement where people will be moving past rather than standing still.

Resolution, DPI and file format

Use a vector file — SVG, PDF or EPS — whenever your printer accepts one. A vector code is resolution-independent, so the same file works on a business card and a billboard with no loss of edge definition. This is the single easiest way to avoid print problems.

If you have to supply a raster file, work at 300 DPI at final print size. A 3cm code needs roughly 350 pixels square; a 30cm poster code needs roughly 3,500. Never scale a small PNG up — the module edges soften and scanners start to fail at exactly the distances you care about.

  • SVG — best for most print work, editable in Illustrator and InDesign.
  • PDF — what most commercial printers ask for; embeds cleanly into artwork.
  • PNG at 300 DPI — fine for digital-first work and short runs; specify the size before you download rather than resizing after.
  • CMYK — ask for CMYK rather than RGB for offset and litho, so the black prints as a true black rather than a muddy four-colour build.

Quiet zone, contrast and colour

The quiet zone is the empty margin around the code. The specification calls for four modules — roughly the width of four of the small squares in the pattern. Designers under space pressure crop this away constantly, and it is a leading cause of codes that scan on screen but not in print.

Contrast matters more than colour. A code can be any colour as long as it is clearly darker than what sits behind it; aim for at least 4:1. Two rules that are non-negotiable: never invert the code so it is lighter than its background, and never run a gradient or photograph through the three corner finder patterns.

Ink behaviour varies by stock. Uncoated card, newsprint and fabric all absorb ink and close up the fine modules, effectively shrinking your code. On absorbent materials go one size up and raise the error-correction level.

Stickers, labels and awkward surfaces

  • Round die-cut stickers — keep the code inside the flat central area and leave the quiet zone inside the cut line, not across it.
  • Curved surfaces (bottles, cups, pipes) — increase size, raise error correction, and keep the code within the flattest available section.
  • Equipment and asset tags — expect scuffing and grease, so raise error correction to H, which tolerates around 30% damage.
  • Gloss and lamination — glare is the enemy; matte lamination scans far more reliably than gloss under overhead lighting.
  • Textile — weave distorts the pattern; go significantly larger than the table above suggests and test on the actual fabric.

The pre-print checklist

Run this before the file leaves your desk. It takes five minutes and it is considerably cheaper than a reprint.

  • Scan the final artwork — not the original file — with at least two different phones, one iOS and one Android.
  • Test at the actual distance people will scan from, not at arm's length on a monitor.
  • Test in the lighting the code will live in. Dim restaurant lighting and bright sun both cause failures a desk test will not surface.
  • Print one physical proof on the real stock and scan that. A screen proof will not reveal ink bleed or glare.
  • Confirm the quiet zone survived the layout.
  • Confirm the destination page works on mobile — a code that scans to a broken page is still a failed code.
  • If the destination could ever change, make sure it is a dynamic code before you commit to the run.

What size should a printed QR code be?

The working rule is that the code should be at least one tenth of the scanning distance. At 30cm (a business card or menu) that means about 2 to 3cm. At 3m (a poster) about 30cm. At 20m (a billboard) about 2m. Add margin if the surface is curved, glossy or likely to be viewed at an angle.

What resolution do I need for print?

Why does my printed QR code not scan when the screen version does?

The usual causes are that it was printed too small, was scaled up from a low-resolution PNG and lost edge definition, lost its quiet zone when a designer cropped it tight, or was printed with too little contrast between the code and the background. Ink bleed on absorbent stock such as newsprint or uncoated card also closes up the fine modules.

Can I print a QR code on a curved surface like a bottle or a cup?

Yes, but increase the size and use a higher error-correction level, because curvature distorts the pattern as the camera sees it. Keep the code within the flattest section of the curve and test on a real printed sample, not a flat proof.

What colour can a QR code be?

Any colour, provided the code is significantly darker than its background — aim for a contrast ratio of at least 4:1 and never invert it so the code is lighter than the background, which many scanners cannot read. Avoid gradients across the finder patterns in the three corners.

Should I print a static or a dynamic QR code?

If there is any chance the destination changes after the print run, use a dynamic code so you can repoint it rather than reprint. This is the single most expensive mistake in printed QR work — a static code on 10,000 units cannot be corrected. If you use a dynamic code, make sure your provider will not deactivate it, because that failure mode is common in this category.
